The Simple Priority System I Use (and Teach My Clients)
Instead of guessing, use this 5-level priority filter to decide what deserves your attention first.
- Client Revenue (Now)
Anything tied to current paying clients comes first. This includes delivery, communication, results, and retention. If someone is already paying you, that is your top priority. Always. - Warm Leads (Soon)
These are people already in your pipeline. This includes follow-ups, proposals, meetings, and conversions.
This is where most sales are won or lost, and most people give up too early. - Marketing (Future Leads)
This is how you create new opportunities. Content, networking, outreach, and partnerships all fall here.
If you skip this, your pipeline dries up. If you stay consistent, it compounds over time. - Systems & Admin (Support)
This is the behind-the-scenes work. CRM, bookkeeping, website updates, and processes.
Important, yes. But not more important than revenue-generating activities. - Growth & CEO Time (Scale)
This is your big picture thinking. Strategy, offers, partnerships, and learning.
This is how you grow, but it only works if the foundation above it is solid.
How to Use This Priority System Daily
Before you even look at your to-do list, ask yourself: “Which category moves my business forward the most today?” Then work in that order. Not based on what feels easiest. Not based on what you are in the mood for. Based on what actually drives results.
A Quick Reality Check
Let’s say you have:
- A client waiting on a deliverable
- A lead who said “this sounds interesting”
- A post you want to create
- A website update you have been putting off
The correct order is:
- Client
- Lead
- Marketing
- Admin
Most people reverse that order. They update their website, post on social media, and organize things that feel productive, but do not directly drive revenue.
The Weekly To-Do List Reset
Once a week, take a step back and ask:
- Am I taking care of my current clients?
- Am I consistently following up with leads?
- Am I creating new opportunities?
- What is slowing me down operationally?
- Did I spend any time thinking like a business owner, not just working in the business?
This is how you stay intentional instead of reactive.
